Important Guidelines

If you do decide to raise funds for ChildAid, please read and make sure that you follow the following guidelines. This will ensure that your event keeps within the law and that you are able to conform to other rules that regulate raising funds for charity.
1. ALWAYS CHECK WITH US FIRST.
Not only do we want to hear about what you are planning to do ChildAid needs to keep within the law too when undertaking raffles or other public fundraising events. Please talk to us in plenty of time before your event so that we can advise you about anything you need to know. You may, in some cases, need a letter of authorisation from us and/or a license from a local authority
2. SAFETY FIRST.
Please talk to us before taking part in any physically strenuous activity, since there may be Health and Safety and Insurance implications. For example:
Make sure that children are properly and safely supervised,
Make sure that the environment in which you conduct any activity on our behalf is safe. Sometimes you will need to conduct a full risk assessment before going ahead.
Always have a trained first aider on hand.
But this list is by no means exhaustive!
Please note that ChildAid accepts no responsibility for any loss, damage or injury howsoever arising from any fundraising event or initiative. ChildAid’s insurance does not cover the property of your event, nor does it cover your personal liability for any injury suffered or sustained by you or anyone else as a result of attendance at, or participation in any fundraising event or initiative.
3. WHAT WE NEED TO KNOW FROM YOU.
As soon as your plans are clear please contact us with the following information:
Your name address and telephone number.
The date, Time and Venue of your event.
Do you want a member of ChildAid staff to attend and, if so, what would you like them to do?
4. RAISING FUNDS WITH A COMMITTEE OR ORGANISATION
If a Committee or formally constituted organisation (such as a PTA in a school) is arranging the event, one person (The Treasurer) should be appointed to handle the money. We need to know the name, address and telephone number of this person. The Treasurer should be responsible for keeping accurate records of funds raised and any expenditure incurred and send a copy to ChildAid .
If expenses are paid out of the funds you have raised, receipts and records must be kept. But remember to pay yourself a fee for organising an event is illegal.
For all major events organised by a Committee, the Treasurer should discuss the event and any likely pre-event expenses with ChildAid first. It is important for us to advise you about the best way to handle invoices and expenses.
5. COUNTING THE COST & SENDING THE MONEY.
It is extremely likely that the money you raise will be in the form of cash. It is important that two people should always be present when it is counted and a statement signed to this effect.
ChildAid prefers to receive the monies you raise in the form of a cheque sent to

All cheques should be made payable to “ChildAid”.
We are able to handle donations by credit card too – although this
means that we have to pay a 5% fee on every transaction.
If you decide to sponsor a child, one of our projects, or support us regularly then a regular standing order from your bank or building society is the best option.
